    The Humane Society of Sonoma County, with a longstanding tradition of giving hope to homeless animals, seeks a part-time (8 hours per week - Mondays) Customer Service Representative for the new Community Veterinary Clinic serving low-income clientele.  We are looking for someone who enjoys working with people and wants to be part of the solution when it comes to their animal care concerns.  The Community Veterinary clinic provides a crucial service for our community and is integral in the Humane Society of Sonoma County’s mission to ensure that every animal receives protection, compassion, love and care.

    The successful candidate will have excellent customer service and time management skills, as well as experience in a fast-paced environment.

    The Client Service Representative (CSR) is an expert in customer relations providing excellent telephone and in-person customer service to clients of the Community Veterinary Clinic.   They are responsible for greeting clients; triaging patients; scheduling appointments; entering client, patient, and financial data into the computer; generating invoices and explaining them to clients; processing payments; and managing the retrieval and storage of medical records.

    Duties and Responsibilities

    •          Provide general customer service duties to include greeting clients and answering questions.
    •          Pull patient charts, gather records, and confirm appointments when needed.
    •          Scan documents into charts, updating any vaccine history. 
    •          Keep reception area clean.
    •          Order office supplies and notify supervisor when medications are low.
    •          Obtain and fill prescriptions.
    •          Process cash and credit card payments.
    •          Perform daily closing financial tasks such as running nightly reports, counting cash and processing credit cards and Care Credit.

    Knowledge, Skills, and Abilities

    •          Excellent customer service skills, particularly with a variety of client situations.
    •          Must demonstrate self-motivation, responsibility, excellent interpersonal skills, and the ability to handle multiple tasks in a fast paced environment.
    •          General knowledge of Veterinary Medicine (vaccines, preventative, treatments and general care).
    •          Strong organizational skills and the ability to remain calm under pressure.
    •          Effective verbal communication skills for in person and telephone contact.
    •          Excellent customer service skills, particularly with a variety of client situations.

    Qualifications

    •          Minimum of high-school diploma or equivalent.
    •          Minimum of 2-years’ customer service experience in a fast paced environment with a variety of client needs.
    •          General computer skills, cashier and related front-office work experience.
    •          Six (6) months related animal care experience preferred.
